TERMS OF SERVICE
The plain terms for using Capsultory.
Short and readable. It covers the trial, billing, product keys, your data, and what happens if you cancel.
Effective October 5, 2026
Who these terms are with
These terms are between you (or the organisation you represent) and Capsultory, based in Vancouver, British Columbia, Canada. By installing the software, starting a trial or subscribing, you agree to them. If you do not agree, do not use Capsultory.
What you get
A licence to install and use the Capsultory desktop app and the phone scanner page on your own devices, for your own organisation, for as long as your trial or subscription is active. We keep ownership of the software. You keep ownership of your data.
Free trial
The trial runs for 14 days from the day it starts and is for evaluating Capsultory. It needs your work email. We may limit one trial per person or organisation, and we may end a trial that is being misused.
Plans, billing and renewal
Subscriptions are billed monthly in US dollars through Stripe and renew automatically each month until you cancel. Prices are shown on the pricing section of our website. Single Site covers up to 200 assets. Multi Site and Enterprise are described on the website or agreed with you in writing.
Applicable sales taxes may be added where we are required to collect them. We may change prices with at least 30 days notice, and a change applies from your next renewal.
You can cancel at any time from the billing portal link in your receipt or key email. Cancelling stops future charges, and your access continues until the end of the period you already paid for.
Product keys
Your product key is issued to the email address you subscribed with and is signed so the app can check it offline. It is for use by your organisation only. Do not share it publicly, resell it or use it to give access to people outside your organisation. We may revoke a key that is shared or misused. The app renews your key automatically while your subscription stays active.
Your data and backups
Your assets, products, stock, records and audit trail are stored on your own computer, and in your own Google Drive or OneDrive if you turn that on. We do not hold them and cannot recover them. You are responsible for keeping your own backups and for the accuracy of what you enter. Capsultory is a tracking tool and does not replace your professional, legal, regulatory or clinical obligations. If you use the Rx features, you are responsible for how you handle patient information under the laws that apply to you.
Acceptable use
Do not copy, resell, reverse engineer or attempt to bypass the licence check of the software, except where the law lets you. Do not use Capsultory to break the law, to harm others, or to attack our servers or other users. Do not use the sign in or relay services in ways that overload them.
Third party services
Capsultory can connect to services you choose, such as Google, Microsoft, OneDrive, Zapier, Jira or ServiceNow. Those services have their own terms, and we are not responsible for them or for changes they make.
No warranty
Capsultory is provided as is and as available. We work to keep it reliable, but we do not promise that it will be error free, uninterrupted or fit for a particular purpose.
Limit of liability
To the extent the law allows, Capsultory is not liable for indirect or consequential losses, lost profits, lost data or business interruption. Our total liability for any claim is limited to the amount you paid us in the 3 months before the claim arose.
Ending the agreement
You can stop using Capsultory and cancel at any time. We may suspend or end your access if you breach these terms, for example by misusing a key or not paying. If we end your subscription without cause during a paid period, we will refund the unused part of that period. Sections that by their nature should continue, such as ownership and liability, continue after the agreement ends.
Refunds
Refunds are covered on our refund page at capsultory.com/refunds/.
Privacy
How we handle your email address and licence details is explained on our privacy page at capsultory.com/privacy/.
Changes to these terms
We may update these terms. We will change the effective date at the top of this page, and for material changes we will email active subscribers before they apply. Continuing to use Capsultory after a change means you accept it.
Governing law
These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Disputes will be handled by the courts of British Columbia.
