Capsultory

Getting started with Capsultory

A short walk through setup, adding your assets, and scanning with a phone. Most people are up and running in about 15 minutes.

1. Install and start your trial

  1. Download the installer from the download page and run it.
  2. Open Capsultory and enter your work email. Personal mailboxes such as Gmail cannot start a trial.
  3. You get 14 days free, no card needed. The app opens with sample inventory so you can look around.
  4. When you are ready for your own data, open Settings and choose Clear sample data and start empty. Your settings, locations and accounts are kept.

Your assets stay on your own computer. In Settings you can choose a save location so everything is written to a file you control, and you can mirror a backup to Google Drive or OneDrive.

2. Add your assets

One at a time

Use Add Inventory to enter a device type, tag, serial number and location. Leave the tag blank and Capsultory makes one for you.

From a spreadsheet

Use the CSV import to bring in a list you already keep. The import shows a preview first, so you can check the rows before anything is added.

From your network

Network scan finds devices on your network and drops the ones you pick into Intake, ready to assign to a location.

3. Scan with your phone

Any phone browser can scan barcodes and look up or check out assets. There is no phone app to install. The phone needs to be on the same Wi-Fi as the computer running Capsultory, and Capsultory has to stay open.

One time setup per phone

  1. On the computer, click Mobile scan.
  2. Under First time scanning on this phone, type the phone's email address and click Email it. This sends the phone a small certificate from your own computer, so the phone can trust the connection.
  3. Open that email on the phone and tap the attachment to install it.
  4. iPhone only: go to Settings, General, About, Certificate Trust Settings and switch on full trust for Capsultory Local CA. Without this switch, Safari will not load the page.

Every time after that

  1. Click Mobile scan on the computer to show the QR code.
  2. Point the phone camera at the code and open the link.
  3. Tap Scan barcode with camera, point it at a barcode, then tap Scan to read it.

The QR code expires after a while. If the phone says the code has expired, click New code in Mobile scan on the computer and scan again.

4. Check devices in and out

  1. Scan a device. Its details appear on the phone: status, location, warranty and any loan.
  2. To lend it, tap Check out this device, enter the borrower and the due date, then tap Check out.
  3. When it comes back, scan it again and tap Check in / mark returned.
  4. If you scan a serial number Capsultory has never seen, you can tap Add to inventory to create it on the spot.

Changes made on the phone appear in the desktop app straight away, and every action is recorded in the audit trail.

5. Enter your product key

After you subscribe, Capsultory emails you a product key. Click the Trial badge at the top of the app, choose Enter a product key, paste it and click Activate key.

If something does not work

The phone cannot open the page

This is almost always Windows Defender Firewall. On the computer open Settings, Privacy and security, Windows Security, Firewall and network protection, Allow an app through firewall, and make sure Capsultory is ticked for both Private and Public networks.

Still nothing

The phone may be on a guest Wi-Fi that blocks devices from talking to each other. Join the main office Wi-Fi instead. If the computer has several network addresses, try another one from the list in Mobile scan.

The camera will not start

Make sure you allowed camera access for the page when the browser asked, and that the certificate step above was completed on that phone.

Windows shows a warning when installing

Capsultory is a new app, so Windows may say it protected your PC. Click More info, then Run anyway.
