FOR CONVENIENCE STORES

Convenience store inventory software that keeps up with the till

A convenience store sells hundreds of small items a day across snacks, drinks, tobacco and household basics. Capsultory takes every sale off the shelf count as it happens, tells you what is running low before the cooler is empty, and drafts the order for you to approve.

What you get

Live counts from the till

Sales and returns flow in from Square, or from any POS through a small till agent, so on hand stays right between counts.

Every item by UPC

Products carry UPC, size, category, supplier, cost and price. Scan a barcode with a phone to find or count it.

Reorders based on what sold

When an item drops to its reorder point, Capsultory suggests a quantity from recent sales and waits for a person to approve it.

Supplier orders by email

Approved orders become numbered PDF purchase orders, emailed to each supplier from your own email account.

Shrink you can see

Waste, damage, theft and unexplained count shortages are valued at cost and grouped by reason and product.

Pick lists for restocking

Send a staff member a list of what to pull from the back room. They scan each item to tick it off.

How it works

Import your products

Bring in your product list from a POS export or spreadsheet. Columns are matched for you.

Connect the till

Paste a Square token, or install the till agent on the back office PC for any other POS.

Count once

Do a first count by scanning shelves with a phone. From then on, sales keep it current.

Approve reorders

Check suggested orders each morning, approve, and email them to suppliers.

A practical guide

What to track first

Start with the items that run out most and the items that walk out most: fast moving drinks and snacks, and small high value items near the counter. Get those right and the rest of the store follows.

How often to count

With sales flowing in live, you do not need a full count every week. Cycle count one aisle or category a day, and count high theft items weekly. Variances are logged as count corrections so you can see where stock goes missing.

Reorder points that make sense

Set the reorder point to cover the days until your next delivery plus a small buffer. Capsultory can size the order from how fast each item actually sells, so a slow week does not leave you overstocked.

Pricing

Capsultory Retail is $99 USD per store per month, flat, with unlimited users, PCs and tills. Chains can start on the pilot plan instead: $499 every 3 months for up to 3 stores, setup included. Every plan starts with a 14 day free trial. See IT Assets plans or Retail pricing. All prices are in USD.

Common questions

Does it work with my POS?

Square connects directly with an access token. Most other POS systems connect through the Capsultory till agent, which reads the POS sales export folder or its database and sends each sale over your store network. It reads items and quantities only, never card data.

Can several staff use it at once?

Yes. Pricing is per store, not per user, so every phone and PC in the store can scan and count. Enterprise mode lets several PCs work on the same inventory through a folder on your network.

Where is my data stored?

On your own computer or network share. Sales go from the till to your PC, not through a Capsultory server.
